1. Introduction

Thanks for using Clerzo. Clerzo is run by Clerzo Technologies LTD (“Clerzo”, “we”, “us”), and we take the trust you place in us seriously. This policy explains, in plain language, what information Clerzo collects when you use our apps and website, what we do with it, and the choices you have.

2. What we collect

• Account details: your name, email address, phone number if you add one, and your business name, currency and invoice settings.
• Business records: the messages, voice notes and receipt photos you send Clerzo, and the records created from them: sales, expenses, stock, invoices, debts and your customers’ contact details.
• Usage information: how you use the app, such as features opened, device type, app version and crash reports.
• Cookies on our website: we only use essential cookies needed to keep the site working. We don’t use advertising or tracking cookies.

Payments for Pro are handled by the App Store or Google Play. We’re told whether your subscription is active, but we never see your card details.

3. How we use it

• To run Clerzo, turning what you tell it into records, building invoices, tracking stock and debts, and answering your questions.
• To give you insights and summaries about your business.
• To support you when you get in touch, and to send important account and billing messages.
• To understand how the app performs so we can fix problems and improve it, using information that doesn’t identify you wherever possible.
• To keep Clerzo secure and meet our legal obligations.

4. Clerzo’s AI and your data

When you send Clerzo a message or a receipt, it’s passed through our own server to an AI model, together with any records needed to answer you. The result comes back as structured records that are saved to your account. Our AI provider processes this only to answer your request and isn’t allowed to train its models on it.

AI can get things wrong, so every record stays editable, and receipt scans are shown to you to confirm before they’re saved.

5. Sharing and disclosure

We don’t sell your information. We share it only with trusted providers that help us run Clerzo, such as cloud hosting, database and storage, our AI model provider, and email and support tools. We share it only so they can provide those services to us.

When you store your customers’ details in Clerzo, you’re in charge of that information; we keep it only so you can use it in the app.

We may also disclose information when the law requires it, in response to a valid legal request, or to protect the safety of our users and the Service.

6. Keeping it safe

Your data is encrypted in transit and at rest, and each account can only ever read its own records. We work hard to protect your information, but no system connected to the internet can be guaranteed 100% secure. Please keep your login private and let us know right away if something looks wrong.

7. Your rights and choices

Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to how it’s used. Most of this you can do yourself in the app. You can also delete your account at any time; we then remove your data within 30 days, apart from encrypted backups that are cleared within 90 days. For anything else, get in touch using the details below.

8. Children

Clerzo is made for running a business and isn’t meant for anyone under 18. We don’t knowingly collect information from children, and we’ll delete it if we learn we have.

9. Updates to this policy

As Clerzo grows, this policy may change. When it does, we’ll post the new version here and update the date at the top. If a change is significant, we’ll also let you know in the app or by email.
